EVENT MANAGEMENT: Group Responsibilities: • Confirm that they will support the district event by 30th July 2021 • Each Scout Group/Girl Guide Unit in the District to support by manning a checkpoint along the trail route. The event will not be possible to proceed without full support of the district. • Checkpoints manned by 2 x Kalamunda Rovers, 1 x Kalamunda, 1 x Wallison and 1 x Girl Guides On the event day: • Each group supplies to the checkpoint: o Roster of 2 adults at all times (group responsible for arranging roster of adults, one of which is a leader and one with first aid qualifications) o First Aid Kit o 40 Litres of water (resupply of event participants and for first aid purposes) o Shade/shelter o Table (optional) o Seating (optional) o Mobile phone (to contact event organisers/guardians/parents) o Radio/music (optional) • Event Organisers supplies each checkpoint: o Stamps to mark off the cards o List of contact numbers of persons manning the checkpoints o I3 register for any first aid rendered at checkpoint

Instructions

• Procedures: o As each Joey, Cub, Scout, Venturer or Rover comes through, you will need to stamp their card once. o Once it gets to 2:30pm, please advise participants that arrive at your checkpoint that they may not proceed any further. Participants are then able to contact guardians/parents to pick them up from your checkpoint location. You may have to assist with this process by calling them. o If anyone requires first aid: § If a hiker comes in needing basic first aid, then treat at checkpoint and send on § For minor injury/illness such as a strain that requires a person to leave the course (sprained ankle, minor dehydration etc…) contact the Pickering Brook Base to arrange a vehicle to come and collect the person. § Major injury/illness – ring for ambulance first “000” then contact Pickering Brook base § Fill in I3 register for all first aid rendered at checkpoint. • After the Event: o Payment of outstanding expenses, tallying up of accounts o Badges sent out to each Group to hand out at unit meeting nights o Tally up scores (Bill Wright Trophy will be awarded by District Commissioner/Event Organiser with the group that wins at an agreed date and time) About the Trail: For full information about the trail visit: https://kalamunda.wa.gov.au/recreationtourism/outdoors/railway-heritage-trail The walking and running trail is made of compacted gravel and is mostly flat with small loose stones from Kalamunda to Grove Road, Lawnbrook to Baden, and Carmel to Glenisla. The Grove to Lawnbrook, Baden to Carmel, and Glenisla to Pickering Brook sections are rougher and walkers and runners should wear sturdy shoes and watch for tree roots and some rocks. This trail is a dual use trail and hikers are to be aware of cyclists on the dual use trail and share the space. Please follow the bushwalking donkey orchid trail signs (don’t use the cycling only ones as these are often single file and one way only pathways) Dual use sign Group Leaders please supply a roster of the adults and contact details for their checkpoint. (see attachment A) Maps of the route (attachment B) Group leaders to print and supply to each participant/patrol. Checkpoint 1 (Kalamunda Scout Group) Cnr of Elizabeth Street and William Road Kalamunda (carpark of St John Ambulance) this is your check-in start point. Participants will pick up their stamp card from here. Checkpoint 2 (3rd Kalamunda Rovers) Lesmurdie Road East (see map) Checkpoint 3 (Walliston Scout Group) Cnr of Lawnbrook Road West and Palmateer Drive, Bickley (see map) Checkpoint 4 (3rd Kalamunda Rovers) Carmel Road East, Carmel (see map) Checkpoint 5 (Lesmurdie Girl Guide – Event Organisers) Bus stop along Canning Road, Pickering Brook (opposite Pickering Brook general store) (see map) Please note that we estimate that the track walking one way for the average scout is about 2 hours (longer perhaps for cubs and longer again for Joeys). Those that wish to walk back and forth along the trail are encouraged to do so, to hike the furthest and help the group win the Bill Wright Trophy. However, participants are reminded that when it gets to 2:30pm they are to move to the closest checkpoint and the leaders/adults at this checkpoint will contact parents to arrange pickup. Leave your Trekabout card with the leaders at the checkpoint. Safety Briefing for unit meeting before event by each section in groups to include: Each participant to: • consider their own fitness for this event • please revise road crossing etiquette with all sections. • to wear appropriate footwear and attire (camp uniform with scarf) and hat • carry small day pack to include: o 1.5L of water (minimum), o snacks, + lunch o sunscreen +/- repellent o rain jacket o own first aid kit (cuts and scrapes treatment a minimum) Advise participants that at each checkpoint: • It is their responsibility to have their cards stamped • water will be available to refill water bottles • a first-aider will be present Use the opportunity to: • pick up rubbish along the track • challenge yourself to walk further than ever before and help your group to win the Bill Wright Trophy. All Joeys and Cubs must be accompanied by an adult as there are roads to cross (not all road crossings are manned). It is expected that Scouts, Venturers are able to cross roads unaccompanied. Also remind participants that there will be others using the trail, be courteous and “share the trail” with hikers and cyclists alike. Please follow the walking track and not the cycling track, as not all the track is dual use, some paths are just for cyclists (please do not walk on these tracks).
